The Total MD Family Medicine & Urgent Care Management

Introduction

Management implies the governance of the socio-economic performance of the company in the market economy. It is an area of knowledge and professional activity aimed at creating and ensuring organizational goals through the rational use of available resources. One of the main tasks of management is to manage human resources to reach the companys high performance and effective functioning (Griffin, 2012).

The main objective of it is to ensure harmony in the development of the organization that is a coherent and effective functioning of all its internal and external elements. The development of management solutions is the center around which revolves the companys life. To implement the decision, the management must pass a resolution for executing and distributing tasks between the performers, exercise control throughout the task implementation, and motivating employees to perform.

In this paper, the Total MD Family Medicine & Urgent Care management is analyzed in terms of the four critical managerial functions, which are planning, organizing, leading, and controlling. The company operates in the healthcare industry, and providing high-quality health services is the top priority of the organization. Thus, the leadership executes power in such a way to ensure that the company and its employees meet the highest standards of performance. It should be stated that Total MD is an efficiently managed organization that is aimed at achieving organizational success and furnishing the best of care to its clients.

Background

Total MD provides comprehensive services to the community. Its aim is to furnish complete urgent care to Florida residents. The center is open seven days a week, 365 days a year. Certified doctors with outstanding expertise, skills, and knowledge represent the board of health care specialists. The health care institution delivers family medicine, urgent care, orthopedic surgery, neurosurgery, occupational surgery, chiropractic medicine, physical therapy, laboratory testing, digital x-ray and high-field MRI (Total MD, n.d., para. 1). The most critical value for the organization is its patients, and Total MD has a multi-specialty group of physicians that can perform a variety of tasks in a versatile setting.

The company has a dozen locations across Florida. Total MD expanded its premises in 2014 to Fort Lauderdale, and it has its other primary sites for urgent care in West Palm Beach and Coral Springs (Total MD, 2014). In addition, it has satellite offices for orthopedic surgery, neurosurgery, and interventional pain in Boca Raton (Coral Springs). The company aims to expand further to be able to meet the wider population. At present, it offers timely care at a reasonable cost. As the organization seeks to achieve ambitious goals, active management is indeed crucial for it. Initially, the companys management acted as a regulator for the provision of services, and then it transformed into the management of employees performance and organizational productivity.

Analysis

Management is the process of implementation of the various activities required to define and achieve the goals of the organization. With all the variety of management composition, its activities can be divided into four main interrelated management functions, which are planning, organizing, leading, and controlling (Williams, 2016). These functions are united by the bonding processes, which include interaction (communication, information exchange) and decision-making. The management can be regarded as an independent activity consisting of a purposeful influence on the employees in order for them to work jointly to achieve the goals of the company.

Planning

Planning involves defining the organizations objectives, the means to achieve these objectives, and the required resources (Griffin, 2012). It allows the management to develop a series of actions aimed at achieving these goals; consequently, planning is a way to coordinate the enterprises activities. The main types of plan are long-term (annual goal setting), strategic, and tactical planning (Williams, 2016).

The starting point of long-term plan is to compile a forecast of the volume of service provision for the long term. To accomplish it, the company uses the extrapolation method based on the established trends of development in the prior period. The organization, along with the long-term, develops short-term plans to implement an adjustment strategy.

Total MD management performs a number of actions in terms of planning. For instance, it forms the R & D plan, establishes time schedules and cost estimates. In addition, the main activities include the formation and approval of staffing by units. One of the tasks consists of a request for credit for innovation and the adoption of the financial plan of the enterprise (Jane Smith, personal communication, September 15, 2016).

According to the interview with Jane Smith, the management deals with human, financial, physical, and information resources. It can be stated that the management performs its planning function well as it does its best to deliver the strategic value and analyze the current situations. In addition, planning in the company includes defining and grouping jobs to efficiently use the human force. The senior management interacts with teams to dwell upon the goals for the future and delegates responsibilities to the employees to make sure that everyone understands the appropriate actions.

Organizing

The organization consists of a set of formal and informal elements that need to be brought into line, and it needs to coordinate the various tasks in order to achieve common goals. There are two main aspects of the organizing process. One of these is the division of the organization in units according to the goals and strategies. Another one involves the distribution of powers, which binds to guide the employees and enables the delivery and coordination of tasks. The delegation of rights and obligations is a tool by the use of which the head ensures that the work will be carried out (Griffin, 2012). The implementation of the plan implies that the tasks arising from the organizations objectives (Williams, 2016).

Total MDs management carries out such activities as the choice of the companys legal form, acceptance of the companys organizational structure and approval of regulations on services, and job descriptions. Management also considers the creation of new business units. The company has a multi-tier structure and includes several managerial levels. The simplified chart consists of the following hierarchy: top management (CEOs) middle managers (divisional managers) first-line managers (department managers) team leaders.

It can be stated that the described structure can be characterized as useful as it enables assembling and coordinating the arsenal required for the successful attainment of the companys objectives (Williams, 2016). In addition, the management seeks to establish and maintain a dynamic organization with effective coordination within it.

Leading

The issue of motivation is one the most crucial aspect of this management function; it implies that employees perform work due to the rights and responsibilities delegated to them in accordance with the plan. Substantive theories of motivation are based on the identification of those internal motives that lead people to act the way they do (Griffin, 2012). Procedural theories of motivation are based primarily on how people behave in accordance with their perception and cognition.

Both of the concepts stress the influence of needs and remuneration on staff performance. As demands cause human aspiration to their satisfaction, managers should create such a situation that would allow people to feel that they can satisfy their needs by type of behavior that leads to the achievement of organizational goals.

Karl Robbins has been a strategic manager in the company for four years (personal communication, September 15, 2016). His main goal is to mobilize employees to endow their ideas. He strives to encourage them to be high performers. He tends to apply several leadership styles, such as supportive, directive, participative, and achievement-oriented, to attain the best outcomes (Alkahtani, 2016). According to the interview, he considers several skills necessary for every manager; they predict and be flexible. He stated that having a high level of confidence in the group is crucial to promoting a positive environment. Moreover, he must try to establish effective communication both within and outside the company. He acts as a coordinator and an expert strategist if the situation requires so (Alkahtani, 2016).

Controlling

Controlling functions as feedback through the three aspects. First, it is the establishment of standards according to the objectives to be achieved by a specific deadline. Second, it is the measurement of what is actually made by that date and a comparison with the desired results. Third, it is the action taken to correct the identified deviations (Griffin, 2012). One option is to review the objectives so that they become more realistic, consistent with the situation. All of these management functions require the exchange of information and decision-making.

The Total MD management exercises preliminary control of financial resources through the budget. The monitoring is carried out directly in the course of work. It is based on the actual measurement of results in the course of action. The ultimate control is carried out after the job is done. In the end, the results are compared with the desired ones. According to the observation, the final control has two essential functions; it provides management information necessary for future planning and promotes motivation. In the process of monitoring, standards and criteria are developed, and the required corrective actions can be taken afterward (Griffin, 2012).

The management also assesses the advancement of the performance, evaluates the companys financial condition, and analyses the companys departments. In addition, it sets the procedure for evaluation and assesses the performance of the strategic concept.

Conclusion

After compiling the research and investigation results, it can be stated that Total MD is a well-managed company, which is evidenced by the effective implementation of the four leading functions of the companys management. Management is the development, modeling, creation, and organization of the companys processes and activities (Griffin, 2012). It involves the most efficient use, management, and monitoring of socio-economic systems (Williams, 2016).

In managing, the leadership seeks to minimize the costs and maximize the effects of all kinds. One of the essential conditions for active management is the conformity of management methods to the particular situation in which they are applied. In terms of efficiency, it should be noted that, currently, the company is the only facility in Florida that offers the total urgent care. It is planning to expand, and the analysis of the companys management justifies the underlying reasons for the adequate performance in the health care industry.

One of the most important conclusions that can be drawn from the research is that the companys efficiency depends directly on the successful implementation of all of the four management functions, and if one of the services were not performed well enough, it would inevitably influence the efficiency of the others.
